Before you startThis guide follows Accounting and Bookkeeping module version 1.4.5. The required access is Accounting Settings: View/Edit/Delete. A related screen can remain hidden when an optional module is inactive, a source record is in an ineligible status, the selected account is inactive or the user is not an assigned approver.

What you’ll accomplish

Maintain exchange rates used by supported multi-currency accounting and reporting workflows. It forms part of Britixo Enterprise CRM's Accounting & Bookkeeping module and uses the module's permission-aware controller, status and mapping flow rather than a generic spreadsheet process.

How the module flow works

The module provides currency-rate table, settings update, individual update, online retrieval, delete, modal and log-table actions.

The exact rate applied to a source transaction can also depend on the source record's currency data and date.

This setting is an operational tool; finance must define whether spot, daily, monthly or another approved rate is used.

Follow these steps

  1. Verify the Britixo CRM base currency.
  2. Go to Currency Rates.
  3. Check the current currency list and rates.
  4. Enter or update an approved manual rate where required.
  5. Save and verify the rate.
  6. Test a controlled foreign-currency transaction or report.
  7. Check rate logs and document the source.

Fields and decisions to review

Base currencyReference currency for Accounting values.
Foreign currencyCurrency requiring an exchange rate.
RateConversion relationship at the saved effective context.
Manual updateAllows an authorised rate to be entered.
Online rateRetrieves a rate from the configured online source.
LogsRecord rate retrieval or update history.

How to confirm it worked

After the action is saved, Britixo keeps the Accounting record connected to its source and updates the visible status or ledger data supported by this workflow. Review the saved result rather than relying only on a success message. Where the action posts accounting data, total debits and credits must balance and the accounts must match the approved mapping or manual selection.

  • Open the saved record and confirm its final status.
  • Review the source reference and every debit and credit line where ledger data was created.
  • Use the relevant register, ageing, reconciliation or report to verify the wider effect.

Controls, checks and common mistakes

  • Do not change the base currency casually.
  • Use an approved rate source and effective-date policy.
  • Do not overwrite historical assumptions without review.
  • Investigate extreme or zero rates.
  • Use the least destructive correction available and record the reason for material changes.
  • Do not bypass a permission, approval or closed-period control by changing unrelated data.
Accounting and data safetyDeletion, reset, void, refund, mapping, journal and reconciliation actions can change financial history. Use approved access, retain supporting evidence and validate the result in the General Ledger or relevant control report.
